PRIVACY NOTICE

This notice explains how we handle public website enquiries and information shared with us during agreed client work.

Last updated: 5 November 2026

Who is responsible?

Matheson-Hazzard is a UK-based independent content strategy and digital services business. For questions or data requests, email contact@mathesonhazzard.co.uk.

What we collect

When you send a website enquiry, we collect the contact details and message you choose to provide. During agreed client work, we may also process documents, media and information you send by email or through a restricted Google Drive folder. We process limited technical information needed to operate and protect the website.

Why we use it

We use enquiry details to respond to messages and assess potential projects. We use client-provided information to deliver agreed services, manage production and retain appropriate business records. Depending on the circumstances, processing may be necessary to take steps before entering a contract, perform a contract or pursue legitimate business interests. An enquiry alone does not subscribe you to marketing.

Sharing client materials

When appropriate, clients receive access to a restricted Google Drive folder to share source material, briefs and documents outside this website. Folder access is granted deliberately. Please share only information you are authorised to provide, and agree suitable arrangements in advance for any sensitive personal or safeguarding material. Sending media does not automatically grant permission to publish it.

Where the information goes

Wix hosts the public website and processes enquiry form submissions. We use Microsoft 365 for business correspondence, restricted Google Drive folders for agreed client material and Metricool where relevant for content scheduling and reporting. Supplier access is managed separately. Providers may process data outside the UK under their relevant contractual terms and applicable international transfer safeguards.

How long we keep it

We retain enquiry and client-service records only for as long as reasonably necessary for correspondence, the work requested, resolving queries and applicable legal or business obligations. Media retention, archiving and deletion arrangements should be agreed as part of each client's service terms. Contact us to request a review, correction or deletion where appropriate.

Appearance and location settings

The Auto / Day / Night setting is saved in your browser. Automatic appearance normally estimates solar times from your device's time zone. If you select “Use my location”, the browser asks permission and stores coordinates locally for more accurate dawn and dusk. You can remove those saved coordinates using “Clear saved location” in the footer. We do not use that optional browser-location feature to send your position with an enquiry.

Your rights

Subject to the circumstances and the law, you may ask to access, correct, erase or restrict your personal data, or object to processing. Contact us using the email above. You can also raise concerns with the Information Commissioner's Office.

Website services and cookies

Wix and other services used to deliver the website may employ essential technical cookies or similar storage. We will document any additional analytics or non-essential technologies and provide appropriate choices before enabling them.

Client agreements may provide additional information about processing responsibilities, media permissions, security controls and retention. Please contact us before transferring unusually sensitive information.
